Employee Benefits Enrolment Checklist for Employers

A reliable enrolment process helps prevent missed coverage and billing errors. Use this checklist when launching a plan or adding employees. Adapt it to the provider's actual requirements rather than treating it as a substitute for the contract.

Confirm Eligibility and Effective Dates

Confirm the employee's eligible class, required hours, hire date and waiting period. Record the expected effective date and application deadline. Check any actively-at-work or evidence requirements. Do not mark coverage active until the necessary provider confirmation has been received.

Collect Only Required Information Securely

Collect only the fields the provider requires and use the approved secure channel. Restrict access to the people responsible for enrolment. Do not request medical details through a shared HR spreadsheet or ordinary website form when the insurer has a separate process.

Explain Coverage, Contributions and Deadlines

Give the employee a clear summary of benefits, contributions and required actions. Explain deadlines, waivers and the consequence of applying late. Provide the benefit booklet or access instructions and identify the contact for questions.

Document Beneficiaries and Coverage Elections

Complete beneficiary and coverage-election requirements through the appropriate system. Document accepted waivers and any evidence still outstanding. A form being submitted does not mean every optional amount requested has been approved; confirm the final coverage.

Reconcile Payroll and Carrier Records

Check the first bill against payroll and the employee record. Confirm the employer/employee split and any taxable benefit treatment. Resolve missing members, duplicate deductions and incorrect effective dates promptly with the responsible parties.

Review Enrolment After Launch
